Who are we?

UFOFleet, a product of UFODrive SA, registered in Luxembourg, is the legal entity responsible for processing personal data within the meaning of the General Data Protection Regulation (EU) 2016/679 (GDPR). 

Depending on the context, UFOFleet acts either as a data controller (for example, for website visitors, platform administrators, billing contacts, and marketing communications) or as a data processor when providing its fleet management software services to customers.  

What information do we collect and how do we use it?

When using the term “personal data” in our Privacy Notice, we mean information that relates to you and allows us to identify you, either directly or in combination with other information that we may hold. 

Personal data that you provide voluntarily

To allow access to and use of the UFOFleet platform and related services, we may collect the following data when you create an account, administer a fleet, or interact with our services: 

  • Name 
  • Business or home address 
  • Email address 
  • Mobile phone number 
  • Billing and payment information 

Where UFOFleet processes driver, vehicle, or telematics data on behalf of its customers, such data is processed solely in accordance with the customer’s instructions and for the purpose of providing the fleet management services.  Your personal data are collected, processed, and used only to the extent necessary to provide, secure, and improve the UFOFleet platform and its associated services.  

We may also use your data to manage customer relationships, subscriptions, and platform access. 

Furthermore, your personal data can be used for market research or marketing purposes (including social media targeting to display adverts and posts to specific audiences on platforms such as Facebook and Google) only after we collect explicit consent from you using our website, platform, or email. You are free to withdraw your consent at any time. 

However, where we email or text you about a similar product or service that you purchased from us in the past, we process your personal data in our legitimate interests in carrying out our business, provided those interests are not outweighed by your rights and interests. 

Personal data that we collect automatically

Whenever you interact with our platform or website, your activity may be logged to allow our support and engineering teams to operate, secure, and improve the service. Thus, we automatically collect certain technical information such as IP address, device type, operating system, pages accessed, requests made, and the date and time of access. 

Passwords are stored in encrypted or hashed form and are not accessible in plain text. Where location, vehicle, or telematics data is processed through the UFOFleet platform, such data is provided by or on behalf of our customers and processed strictly for fleet management purposes in accordance with customer instructions.  

Cookies and other technologies

Our website uses cookies. During your first visit, a banner appears informing you of the use of cookies. You may accept or refuse optional cookies depending on their purpose. Some cookies do not collect personal data and are necessary for the proper functioning of the website.

How do we secure personal data?

Your personal data are secured using the following measures: 

  • Access to personal data on a strict need-to-know basis 
  • Selection of service providers with appropriate data protection safeguards 
  • Industry-standard security practices including encrypted connections, firewalls, and authentication controls 

Where do we store and process personal data?

Personal data is stored on servers hosted by Amazon Web Services within the European Union. 

Billing and payment data may be processed by third-party payment providers such as Stripe and is not stored directly on UFOFleet systems. 

How long do we keep your personal data for?

Personal data is retained only for as long as necessary for the purposes for which it was collected, including contractual, legal, and legitimate business requirements. 

  • Technical logs are retained for up to six (6) months 
  • Account data is retained for the duration of the customer relationship 
  • Data processed on behalf of customers is retained in accordance with customer instructions or contractual terms 

Your rights in relation to personal data

You have rights under GDPR including access, rectification, erasure, restriction, data portability, and objection. 

Where UFOFleet acts as a data processor, requests relating to personal data should normally be directed to the relevant customer, who is the data controller. UFOFleet will assist its customers in responding to such requests where required.
